Pivot College Coaching LLC (“we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, and protect personal information from our clients and prospective clients who use our website, contact us, or participate in our coaching services.

We collect only the information necessary to provide our services effectively:

Contact information: names, email addresses, and phone numbers of students and parents.

Educational materials: drafts of essays, résumés, and other application materials voluntarily shared by students.

Payment information: processed securely through Stripe; we do not store credit card details.

Communications data: emails and messages exchanged through Google Workspace (Gmail, Docs, Drive) and Satori (our scheduling and learning platform).
We do not collect or store sensitive personal identifiers such as government ID numbers, medical data, or biometric information.
2. How We Use Information
We use collected information only to:

Provide individualized college-coaching services;

Communicate with students and parents about appointments, progress, and materials;

Manage payments and client accounts;

Maintain internal records and comply with legal obligations.
We do not sell, rent, or share personal information with any third parties.
3. Parent and Student Communication
Because we serve minors, we recognize the importance of privacy and trust:

Students may choose whether their parents are copied on communications between themselves and the coach.

Students may choose whether to share drafts or written work with their parents.

Parents are informed of these choices at the start of services.
4. Data Storage and Retention
All client information is stored securely in password-protected Google and Satori accounts.
We retain:

Active client records: for the duration of the coaching engagement.

Completed client records: for up to six months after the student has matriculated to college, to support final requests or documentation.

Inactive or cancelled leads: deleted within 60 days of cancellation.
After these periods, all personal information, drafts, and communication records are permanently deleted.
5. Data Security
We use industry-standard security measures, including encryption provided by Google and Stripe, to protect data from unauthorized access, alteration, or disclosure. No online platform is completely secure, but we take reasonable steps to safeguard information.
6. Your Rights
Parents and students may request:

Access to their personal information;

Correction of inaccurate information; or

Deletion of their data at any time.

7. Children’s Privacy
Our services are intended for high-school students applying to college, with the knowledge and consent of their parents or guardians. We comply with applicable children’s privacy laws and communicate transparently about student choices and parent access.

We may update this Privacy Policy periodically. Any changes will be posted on this page with an updated “Last Updated” date.
